The Role & Expectations
As a purchasing administrator, you spend your days tracking down suppliers, comparing prices, and organizing orders. You might buy things for a small team or manage thousands of pounds worth of stock for a big factory. Either way, you are making sure your company has what it needs, when it needs it, and at the best price.
You will write up purchase orders, chase delivery dates, sort out problems if something goes wrong, and keep detailed records of everything. You will talk to suppliers on the phone and email, negotiate better prices when you can, and spot ways to save money. Some days are routine paperwork; other days you are solving a puzzle - tracking down a missing shipment or working out why an invoice does not match the order.
Daily Responsibilities
- Manage purchase orders and ensure timely processing and delivery of goods.
- Communicate with suppliers to negotiate prices, terms, and delivery schedules.
- Maintain accurate records of inventory levels, orders, and supplier information.
- Assist in the analysis of purchasing data to identify trends and opportunities for cost savings.
- Collaborate with internal departments to forecast demand and align purchasing strategies.
- Resolve discrepancies in orders and invoices with suppliers and internal stakeholders.
- Support the development and implementation of purchasing policies and procedures.
- Prepare reports on purchasing activities and supplier performance for management review.
